NEEDZ Studio Ltd. ("NEEDZ," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit needzcanada.com, create an account, place an order, join a waitlist or marketing list, participate in NEEDZ Points, contact us, use local pickup, or otherwise interact with us.
This Policy is intended to reflect the requirements of British Columbia's Personal Information Protection Act ("PIPA") and, where applicable, Canada's Personal Information Protection and Electronic Documents Act ("PIPEDA") and other applicable privacy laws.
For this Policy, “personal information” means information about an identifiable individual and does not include information that has been anonymized so that it can no longer reasonably identify an individual. If this Privacy Policy conflicts with another NEEDZ policy about how personal information is handled, this Privacy Policy governs that privacy issue.
1. Accountability
NEEDZ is responsible for personal information under its control, including information processed for us by service providers. We have designated a Privacy Officer to oversee this Policy, respond to access and correction requests, and receive privacy questions or complaints.

2. Personal information we collect
Depending on how you interact with NEEDZ, we may collect the following categories of personal information.
Information you provide
- Identity and contact information: name, email address, phone number, billing address, shipping address, pickup location, and account username or identifier.
- Order and transaction information: products viewed or purchased, pre-orders, deposits, remaining balances, order notes, returns, refunds, discounts, taxes, delivery or pickup choices, gift-card or store-credit use, and order history.
- Account and loyalty information: login credentials in protected form, wishlist items, saved addresses, NEEDZ Points activity, points ledger, tier, qualifying spend, reward redemptions, early-access eligibility, preferences, and account settings.
- Payment information: payment method, transaction status, payment-provider reference, billing details, and fraud-screening results. Full payment-card details are generally collected and processed by the payment provider rather than stored by NEEDZ.
- Communications: messages, support requests, reviews, survey responses, promotion entries, photos or videos submitted for product claims, and records of our correspondence.
- Marketing preferences: newsletter sign-up, communication consent, unsubscribe status, and campaign engagement.
Information collected automatically
When you use the website, we and our service providers may automatically collect:
- Internet Protocol address, approximate location derived from IP, device identifiers, browser and operating-system information;
- pages viewed, searches, referring and exit pages, links clicked, session times, cart activity, and interactions with site features;
- cookie identifiers and similar technology data; and
- security, login, fraud, diagnostic, and server-log information.
Information from other sources
We may receive information from payment processors, delivery carriers, fraud-prevention providers, analytics or advertising partners, social platforms, manufacturers or distributors handling a product claim, and people who purchase or arrange an order for you.
3. How we use personal information
We may use personal information for purposes that a reasonable person would consider appropriate in the circumstances, including to:
- operate, maintain, secure, troubleshoot, and improve the website and our business;
- create and manage customer accounts, wishlists, saved preferences, NEEDZ Points, membership tiers, points-priced products, qualifying spend, and early-access eligibility;
- process payments, orders, pre-orders, deposits, final balances, taxes, refunds, returns, exchanges, and store credit;
- arrange shipping, tracking, customs documentation, local pickup, delivery support, and carrier claims;
- verify identity, address, inventory eligibility, purchase limits, and payment authorization;
- detect, investigate, and prevent fraud, bot activity, abuse, security incidents, chargebacks, and violations of our terms;
- respond to questions, complaints, warranty or defect claims, and other customer-service requests;
- send transactional messages such as account, order, pre-order, final-payment, pickup, shipping, return, and security notices;
- send promotional emails or messages where we have consent or are otherwise permitted by law;
- measure site performance, understand customer preferences, conduct analytics, and improve products, content, and campaigns;
- administer promotions, surveys, reviews, waitlists, back-in-stock alerts, and community activities;
- establish, exercise, or defend legal claims; comply with tax, accounting, consumer-protection, anti-fraud, law-enforcement, and regulatory obligations; and
- carry out another purpose that we identify when collecting the information or that you otherwise authorize.
We do not use personal information for a new, unrelated purpose without obtaining additional consent when required by law.
4. Consent and your choices
We obtain consent in a form appropriate to the sensitivity of the information and the circumstances. Consent may be express, implied, or otherwise authorized by law.
When you provide information to place an order, arrange payment, delivery, pickup, a return, or customer support, we understand that you consent to reasonable collection, use, and disclosure for that purpose. We request separate consent for optional marketing where required.
You may withdraw consent to an optional use at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawal will not affect processing that already lawfully occurred. If required information can no longer be used, we may be unable to provide an account, fulfil an order, maintain loyalty benefits, or provide another requested service.
Marketing communications
You can unsubscribe using the link in a marketing message or by contacting us. We will process unsubscribe requests within the period required by law. You may still receive non-promotional messages needed to administer your account, orders, pre-orders, payments, security, or legal notices.
Cookies and similar technologies
You can manage cookies through your browser and our cookie controls. Strictly necessary cookies remain active so the website can function. Optional analytics and marketing categories are denied until you make a consent choice and can be changed through the available cookie-preference control. Blocking some cookies may prevent the cart, checkout, account login, preferences, or other website functions from working properly.
5. Cookies and similar technologies
NEEDZ and our service providers may use cookies, pixels, tags, local storage, and similar technologies. These may include:
- strictly necessary technologies for security, authentication, session continuity, carts, checkout, payment, language, currency, and consent choices;
- functional technologies for saved preferences, wishlists, account features, and improved site operation;
- analytics technologies to understand traffic, errors, and how visitors use the website; and
- advertising or social technologies to measure campaigns, limit repeated advertisements, or provide more relevant marketing where permitted and consented to.
Cookie names and retention periods may change as the website and service providers change. Where required, our cookie banner or preference centre provides current choices. Browser “do not track” signals are not interpreted consistently across the industry; we respond to legally recognized preference signals where applicable.
6. When we disclose personal information
We do not sell personal information for money. We may disclose personal information as reasonably necessary to the following recipients:
- commerce and technology providers that host, maintain, secure, or support our website, database, email, customer service, accounts, and loyalty functions;
- payment and fraud providers, including Stripe, to authorize transactions, prevent fraud, handle disputes, and process refunds;
- shipping, logistics, pickup, customs, and insurance providers, including 3AMShip and the carrier selected for the order, to quote, arrange, track, and deliver orders and resolve claims;
- analytics, marketing, and communications providers that help measure use of the website or send communications, subject to consent requirements;
- manufacturers and distributors when necessary to assess a warranty, missing-part, authenticity, defect, allocation, or product-recall issue;
- professional advisers and insurers, such as lawyers, accountants, auditors, and risk advisers;
- government, regulatory, law-enforcement, court, or other authorized bodies when disclosure is required or permitted by law; and
- transaction counterparties in connection with a proposed or completed financing, reorganization, sale, merger, or transfer of all or part of the business, subject to appropriate confidentiality and legal safeguards.
Service providers may use personal information only for the services they provide to us or as otherwise permitted by law and their applicable terms. We may also disclose information with your direction or consent.
7. Cross-border processing
Some service providers may store or process personal information outside British Columbia or Canada, including in the United States or other jurisdictions. Information in another jurisdiction may be subject to that jurisdiction's laws and may be accessible to courts, law-enforcement, national-security, or regulatory authorities in accordance with those laws.
NEEDZ remains accountable for personal information transferred to a service provider for processing and uses contractual, organizational, and other reasonable measures appropriate to the sensitivity of the information. Contact our Privacy Officer if you would like information about our use of service providers outside Canada.
8. Retention
We retain personal information only as long as reasonably necessary for the identified purposes or to meet legal, accounting, tax, fraud-prevention, warranty, dispute, and operational requirements. Retention periods vary by record type. For example, transaction records may be kept for the period required by tax and commercial law, while some cookie or analytics records are kept for shorter periods.
When personal information is no longer required, we take reasonable steps to delete, destroy, or anonymize it. Anonymized or aggregated information that can no longer reasonably identify an individual may be retained and used for legitimate business purposes.
9. Security
We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of personal information. These may include access controls, encryption in transit, provider security standards, monitoring, backups, staff or contractor confidentiality requirements, and payment-card processing designed around applicable industry standards.
No method of Internet transmission or electronic storage is completely secure. You are responsible for keeping your account credentials confidential and for notifying us promptly if you suspect unauthorized account activity. NEEDZ will assess and respond to a privacy breach in accordance with applicable law.
10. Access and correction
Subject to limited legal exceptions, you may request:
- access to personal information about you that is under NEEDZ's control;
- information about how that information has been used and disclosed; and
- correction of inaccurate or incomplete personal information.
Send a written request to the Privacy Officer and describe the records or correction sought. We may take reasonable steps to verify your identity and authority before responding. We will respond within the time required by applicable law and explain any permitted refusal or fee.
You may update certain account information directly through your account. If we cannot make a requested correction, you may ask us to annotate the record with the correction that was requested, where required by law.
11. Children and age of majority
The website is intended for a general audience and is not directed to children under 13. We do not knowingly collect personal information from a child under 13 without legally valid consent. If you believe a child has provided personal information improperly, contact the Privacy Officer.
If you are under the age of majority where you live, use the website and make purchases only with the involvement and consent of a parent or legal guardian.
12. Third-party websites and services
The website may link to third-party sites, platforms, maps, social networks, payment pages, or applications. Their privacy practices are governed by their own policies. NEEDZ is not responsible for a third party's privacy practices merely because we provide a link.
13. Changes to this Policy
We may update this Privacy Policy to reflect changes in our practices, technology, service providers, or legal obligations. The revised version will be posted with a new “Last updated” date. If a change materially affects how we use personal information already collected, we will provide additional notice or obtain consent where required by law.
14. Questions and complaints
Contact the Privacy Officer first with a question or complaint. We will investigate and respond appropriately. If you remain dissatisfied, you may have the right to contact the Office of the Information and Privacy Commissioner for British Columbia or another privacy regulator with jurisdiction.
